‘That doesn’t sound like us’ and Insanity

When an organization reads a draft of their upcoming appeal and thinks, “that doesn’t sound like us,” they usually experience that as a negative.

However, I want your organization to experience “doesn’t sound like us” as a positive – as a sign of growth.

After all, if “sounding like you normally sound” were the key to raising money, wouldn’t you have raised a lot more money by now?

And if your goal is to raise more money than you’ve raised in the past, shouldn’t you be actively trying to sound different than you’ve sounded before?

You Know the Old Line…

“The definition of insanity is doing the same thing over and over again and expecting different results.”

You must sound different if you’d like to raise a different amount of money.

What Does “Sound Like Us” Mean, Anyway?

In my experience there are four principles that, for most organizations, make up what “sounds like us” means:

  1. We don’t ask too strongly or directly
  2. We don’t share stories of need
  3. We like to sound the same way that the experts in our field sound
  4. We ask the donor to support our organization and its good work

For most organizations, appeals that follow those principles will “sound like us.”

The problem is that those four principles don’t work very well.

Try These Instead

Instead of the principles above, try these four:

  • We clearly and directly ask the reader to send a gift today
  • We share a problem that needs to be solved, and show how the donor’s gift will help solve it
  • We sound however the audience needs us to sound so they best understand the message
  • We ask the donor to help a beneficiary or the cause, not to help our organization

If you create an appeal or e-appeal that follows those principles, your donors will still know it’s you. After all, your mission is the same. Your logo and colors are the same. The person who signs the letter is the same.

It will not “sound like you.” But it will raise more money than your normal appeals.

And remember, it needs to be different if you want to stop treading water and raise more money through the mail and email.

Take Heart

If you’re an organization that is being held back by “but this needs to sound more like us,” take heart. Breakthrough fundraising is available to you. But you don’t break through by doing the same thing you’ve done before.

Show this post to people in your organization. Try something that “doesn’t sound like you” in email where the stakes are lower. Or try to implement just two of the new principles above (instead of all four).

But do something meaningfully different.

If you’re struggling with this issue, I can guarantee that you have “pent up giving,” because your donors haven’t been asked in powerful ways yet. They are waiting out there, ready to give you gifts!

You just have to stop “sounding like you.” And that’s a good thing.

Reminding vs. Informing

The most effective fundraising spends more time reminding donors of what they already know than it does sharing new information. 

Let’s say you’re fundraising in the education space, and you’re creating a fundraising message.

You’ll be tempted to say things like:

  • “Over half of our students received some form of financial assistance last semester”
  • “Our nursing program is one of the most effective in the country at producing graduates who are ready to work the day after graduation”
  • “The need for well-trained construction workers is higher right now than any time in the last 70 years”

Notice that all of those are new information to the reader.

There’s nothing wrong with any of them.  Any one of them could be part of a successful fundraising message.

But don’t give your reader too much new information – that increases the amount of work she has to do to understand your fundraising message.  And the more work she has to do, the less likely she is to finish reading your message. 

So savvy fundraisers decrease the reader’s cognitive load by filling their fundraising with statements that the donor already knows and believes, like:

  • “You know how important a child’s education is for their future success.”
  • “Some members of our community need help to attend, and you can give a student who needs financial help the same wonderful experience that you had.”
  • “You’ve seen all the construction around here – you know the Trades are having trouble finding trained workers.”

Notice how the donor already knows and believes all of those things?

Reminding a donor what she already knows is a surer path to success than giving your donor new information to convince her to make a gift.  It lowers the cognitive load for her to process your fundraising message.  It emphasizes that your organization “gets” her.

The Exceptions that Prove the Rule

There are some exceptions.  I’d absolutely give donors new information that:

  • The organization has a shortfall
  • There’s been a disaster of some kind
  • There’s a particularly tough or interesting story

Notice how these three examples are things the donor cares about.

She cares that there’s been a disaster, or that the organization has a shortfall because those things affect what she already knows and cares about.

Contrast that type of new information to something like, “our program has experienced 140% growth over the last four years.”

Any time you find yourself writing a sentence has new information for a donor, ask yourself two questions:

  1. Are most donors going to care about this piece of information?
  2. Instead of including this sentence, would it be more powerful to remind the donor of something I know she cares about?

The result of asking yourself those two questions will be fundraising that resonates more with your donors and brings in more gifts.

Windows Are More Important Than Frames

Frame

There’s a counterintuitive truth in mass donor fundraising:

  • If you talk less about your organization in your fundraising, over time donors come to value your organization more.

We know this because when we help organizations create fundraising that talks less about their organizations, the following things happen:

  • Short term revenue goes up
  • Donor retention goes up
  • The number of major donors increases
  • Long term revenue goes up

The best analogy I’ve come up with to explain why this happens is about windows and window frames.

Here’s what I mean…

Think of your donor communications as a window.  And for a window to function, you need to have both a frame and the glass. 

The content in your fundraising that’s about the people you help, or the cause you work on, is the “glass” in the window.

The content about your organization is the “frame.”

The more content about your organization in your fundraising, the wider your frame is.  And the wider your frame is, the smaller the glass needs to be in order to fit inside the frame.

The smaller the glass, the tinier the window for your donors to “see through” to the people you help or the cause you work on.

Why is this important?

Because the people your organizations helps, or the cause your organization is working on, is more compelling than your organization itself.

In other words, donors are more interested in looking through the window than they are looking at the window frame.

The Counterintuitive Consequence…

When you use a “thin frame” and show donors more of what they came for, an amazing thing happens over time.

Donors come to value your organization more highly than they value other organizations.  Why? 

Because every time donors look at a piece of communication from you, the donor sees the thing they care about most. 

Put another way, by talking less about your organization in your fundraising, donors come to value your organization more.

Your Frame is Important

Your frame can add value.  It’s important.  You can even use the frame to shape the conversation. 

And it’s one of the ways a donor comes to know your organization and what you stand for.

But as you construct your fundraising – as you decide what to talk about and how much to talk about it – always remember that donors are usually far more interested in looking at what they can see through the window than looking at the frame. 

Bragging is not Reporting (example)

Brag

In our experience, most organizations don’t Report enough (especially to major donors). And when they do, they focus on what the organization did, on the organization’s role in the story.

We call that bragging. As in, “Our programs provided holistic care to 345 people…”

That leads to “Ask, Thank, Brag, Repeat” instead of the far more successful “Ask, Thank, Report, Repeat.” Remember … focus on your donor’s role in the story, not your organization’s!

Example Time

Here’s part of a newsletter story – a Report – that a client of ours sent to donors a couple months prior to working with us. Notice the bragging.

  • Our Dentists on the Road Program provides free, urgent dental care to low-income children and adults who lack insurance or a realistic way to pay for treatment. The service is provided in Kansas, Nebraska and Iowa. Our fleet of dental vans provides up to 30 clinics per week.

    Last year with the help of dedicated volunteers, we provided approximately $5 worth of care to patients for every $1 invested in the program.

    In 2017, our 12 Nebraska Dentists on the Road vans treated more than 17,000 people. These people are no longer battling the intense pain and preventing future systemic complications associated with advanced dental diseases as well as socio-economic challenges associated with severe dental problems.

    Children from lower-income families are almost twice as likely to have decay as those from higher-income families, yet they face disproportionately high barriers to receiving care. While in theory all Nebraska children are covered by Healthy Kids insurance, there are many reasons why they may be having trouble accessing it, such as difficulty finding providers that will accept it.

Notice how:

  • The donor is never mentioned?
  • There’s a lot of numbers, medical jargon and education?
  • Notice that when you run into all that detail you start to skip ahead? So do your donors.

Now look at the next time we talked about this program. We told the story of one person who had been helped, we prominently mentioned the donor’s role, and we gave the donor the credit:

  • Emergency Root Canal Saved Schoolgirl’s Tooth!

    Your kind gift helped save the smile of 14-year-old Cecelia who needed urgent dental work.

    When Cecelia bumped her tooth, it seemed like a harmless accident.

    Her mother thought the soreness and swelling would go away, but the pain went from bad to worse and Cecelia begged to stay home from school.

    But thanks to your gift, Cecelia was able to be helped by the Dentists on the Road program.

    It turned out that Cecelia had nerve damage and an infection in one of…

There are a handful of things to notice here, all of which work together to make this an effective Report. This story:

  • Focuses on a person, not a program.
  • Quickly summarizes the need, then showed the donor how they helped meet that need.
    • We do this because eye-tracking studies show that most donors don’t read the whole story.
  • Directly credits the donor for causing the transformation.
  • The language and paragraphs are simpler and easier to read quickly.

Now your donor knows – at a glance – that her gift made a difference. And she is more likely to give to your organization again.

Prior to working with us, this organization didn’t keep performance results for each newsletter. So, we don’t know exactly how much the new version outperformed the old.

But…

…after applying these guidelines for 6 months their net fundraising revenue was up 53%!

A Short Note for Writers

Here’s a tip our writers use as they work on donor communications:

Use verb tense to help take your donors on a journey.

And here’s what that looks like:

  • When Asking for support (appeals, e-appeals, events) use the future simple tense to describe what the donor’s gift will do: “Your gift will help…”
  • When Thanking for a gift (receipt letters, thank you notes) use the present continuous tense: “Your gift is helping…”
  • When Reporting back to donors (newsletters, e-news) use the past simple tense: “Your gift helped…”

It’s a subtle – but powerful – way of communicating to a donor that their gift matters and that it made a difference.

Why are you writing about the organization?

This is the second post in our series on donor-centered-newsletters – the kind of newsletters that delight donors and raise more money for your nonprofit.

The first post was about the purpose of your newsletter. This post is the second and final Big Idea you need to succeed.

And after this – I promise – the posts will get tactical.

But if you don’t know this one idea, all the tactics in the world won’t help very much.

A Powerful, Unexpected Question

It’s 1994. I’m less than a year out of college working at a fundraising agency that specializes in helping large nonprofits raise money. And I’m writing my first newsletter.

I handed my draft to my boss – an accomplished and brilliant fundraiser.

He read the first story, scanned the rest of the stories, and handed the stack of paper back to me.

Then he asked me a powerful but unexpected question:

“Why Are You Writing about the Organization?”

I didn’t know it at the moment, but that was one of the most powerful lessons I ever learned about effective fundraising.

At the time, all I could do was say, “What do you mean? It’s the organization’s newsletter.”

 “Sure.” My boss said, “but most donors aren’t reading a newsletter to find out anything about the organization. They’re reading it to find out if their gift made a difference.

“The most effective newsletters are written to show donors what their gift accomplished. And the best way to do that is through stories about beneficiaries.

“So stop talking about the organization and its programs. Start talking about the donor and telling her stories about lives that have been changed because of her kindness. Then she’ll think it was a great idea to give to the organization and be more likely to give again.”

So I went back to my office to do a complete rewrite.

But I was a far more effective fundraiser from that moment forward.

Your Newsletter

As you create your newsletter, you’ll be tempted to “write about your organization.”

People in your organization will even push you to write about your organization.

They’ll say things like, “But we have to tell people about everything we do and tell them that we’re good at it!”

No. You don’t. In fact, when you do, fewer donors will read your newsletter. Because hearing about your organization is not why they’re reading. They’re reading because they’re hoping to hear about themselves. They’re hoping to hear whether and how their gift made a difference and whether they’re a valuable part of your organization.

Keep this idea in mind as you read this series. Then all the tactics – the writing style, the headlines, the picture captions – will make sense.

You’ll start keeping your donors for longer. And your newsletter will become a major revenue source!

Before & After

Once Upon a Time

Here’s another fundraising “before & after” for your reading pleasure.

It’s the first sentence of an appeal, and it feels like a great example of all the thinking that goes into successful first sentences – and into successful direct response fundraising in general.

Here’s how it arrived on my desk:

  • I send this urgent letter to you because our organization-supported orphanages are overwhelmed, and in desperate need of help.

This is very strong fundraising.  It’s clearly urgent.  The word “you” is used.  It’s clear that there’s a specific problem that the donor can help with. 

But I thought it could be stronger.  Here’s how it looked when I was done with it:

  • You’re receiving this urgent letter because there’s an orphanage that’s overwhelmed and in desperate need of help.

Let me break down the changes and tell you why I made them…

You > I

Notice how the first word of the letter changed from “I” to “You.”

“I send this urgent letter to you…” changed to “You’re receiving this urgent letter…”

“I sent…” puts the focus and the action on the letter writer.  “You’re receiving…” immediately puts the focus and action on the recipient. 

Plus, we humans are trained to be more likely to read and respond to the word “you” … so I moved “you” to be the very first word of the appeal.

Our organization-supported

I deleted the phrase “our organization-supported” from before “orphanages.”

Mentioning that the orphanages are supported by the organization doesn’t help make the case that the donor should send in a gift today.

In fact, it weakens the case because it spends valuable time focusing on who has funded things in the past instead of focusing on what the need is today.

And finally, always remember how fast donors are moving.  Go back and read the first sentence again.  But quickly, like a donor.  Doesn’t it say that the orphanages are supported by the organization?  Wouldn’t it be reasonable for the quickly-scanning reader to think, “If the orphanages are supported by the organization, why do they need my help?”

“Orphanage” Is Better Than “Orphanages”

Note that “orphanages” became “orphanage” (singular). 

Why?  At the beginning of any direct response fundraising, I want to present the donor with a problem that is solvable.  If I tell her that a bunch of orphanages are overwhelmed, I’ve likely presented the donor with a problem that is too big for her to solve.

In our experience, when you focus fundraising on problems that are too big for the donor to meaningfully help with a gift, you get fewer gifts.

So rather than saying “orphanages are overwhelmed” (potentially a very big problem), I changed the sentence to read, “an orphanage is overwhelmed” (a smaller problem where a donor is more likely to feel like she can make a meaningful difference).

Many nonprofits believe that sharing the large size of a problem makes donors more likely to give a gift.  In direct response fundraising, it’s generally the opposite; if you present your donors with a smaller problem where they feel they can make a meaningful difference with a gift today, they’re more likely to make a gift today.

Remove the Comma!

My general rule is to make first sentences as simple and easy-to-understand as possible.

So “…overwhelmed, and in desperate need of help” became “…overwhelmed and in desperate need of help.”

It’s a tiny little change.  But you want to think of the first sentence as the onramp to your whole appeal.  If your onramp is easy to understand and keeps your reader moving forward, your reader is more likely to continue reading your letter or email.

If your onramp is a perfect, well-formed, multi-clause sentence that your high school English teacher would reward you for, and the comma-induced pauses add richness and complexity… well, it’s statistically less likely that people will continue to read your letter or email.

All That From One Sentence?

Yup.  It’s a curse of the trade.  When every word matters, and lives or livelihoods or real life consequences are on the line, you tend to obsess about each word.

Even as I’m writing this blog post I’ve thought of a way to make it better.  And I’m annoyed at myself for not noticing it on my initial pass.

But here’s the thing for you: just practice.  You’ll get better and better.  With email fundraising, the positive feedback loop is almost instantaneous.  You can get very good at this stuff, very quickly, if you’re willing to practice. 

Don’t treat each piece of fundraising as precious.  Write e-appeals, do the best you can, and send them out.

After all, for most smaller organizations it’s easy to make the argument that the volume of fundraising you send out is more important that the quality.  Just practice.

Most likely, you’re not communicating to your donors enough.

Successful Major Donor Fundraising Takes Time

Major donor.

To help you with your major donor fundraising this year-end, we’re running a series of Jim Shapiro’s most helpful posts from the past.

We hope it provides you with some tips and tactics that skyrocket your major donor revenue during this important fundraising season.

Just about every single month, I receive an emergency phone call from an executive director who is short of their budgeted goal for a project or program.

The organizations that call us often have something in common: a leadership team that hasn’t had a disciplined approach to cultivating relationships with their major donors. So when it was time for those organizations to ask their major donors for financial help, their donors weren’t inclined to respond.

What does that mean for you?

It means that TODAY is the day you need to reach out to your top active donors and donor prospects. Right now, pick up the phone and give them a call. This very minute, pick up a pen and write them a thank you note. Or sometime this week, ask a donor to lunch.

Then make sure you have a disciplined system that keeps you in touch with them as often as they would like (which is usually more often than you think) – especially if you’re good about Thanking and Reporting back to them on the effects of their previous gifts.

But for now, take the time to connect with your top donors. By doing this, you’ll not only build great mission-driven friendships but you’ll also prepare your donors to respond when you come to them with a need.
